AI front desk for allied health

Your inbox, sorted before you open it.

Every email, SMS and webchat message gets read, understood and turned into something your team can act on. Referrals and reports file themselves into the patient record. Replies arrive written, grounded in your real diary. Your reception opens a sorted list instead of a pile.

Coverage

Everything patients send you, in one place.

Most clinics run three inboxes and a phone. The assistant reads all of them into a single queue, so nothing depends on which staff member happens to check which app.

Email

Microsoft 365 and Gmail connect directly. On any other provider, forward a copy and it works the same way.

SMS

Patient replies to reminders and recalls arrive in the same queue as everything else, threaded by conversation.

Webchat

Enquiries from the chat widget on your website come in as real conversations, not form submissions.

Paperwork

Referrals that file themselves.

A referral arrives as a PDF attached to an email from a practice you may never have heard of. The assistant reads the document, not just the covering note, and turns it into a filed record and a task.

  • Reads the PDF itself, including scans, using text and vision
  • Pulls patient, date of birth, condition and referring practitioner
  • Identifies funding type: EPC and CDM, NDIS, WorkCover, DVA or private
  • Files the document into the patient record in Cliniko, Nookal or PracSuite
  • Keeps a copy in Quicka, so the record is complete on both sides
  • Raises a task in the planner so the booking call actually happens

Replies

Written from your real diary.

The reason AI replies go wrong in clinics is that they invent appointment times. This one is only allowed to offer openings it has actually read out of your calendar, so a patient never accepts a slot that does not exist.

  • Offers only real openings pulled from your live availability
  • Knows the patient's existing booking, so it can move the right one
  • Signs off in your clinic's name and sender identity
  • Adapts length to the channel, short for SMS, fuller for email
  • Offers the waitlist when there is genuinely nothing free
  • Never gives clinical advice, and hands those messages to a clinician

Hi, something has come up and I cannot make Thursday morning. Is there anything later in the day or later that week?

Hi Tania, no problem at all. We can move your Thursday 8:00 am with Tom to Thursday 30 April at 4:15 pm, or Friday 1 May at 4:30 pm if that suits better. Let us know which works and we will lock it in.

Finance

Remittances matched line by line.

A Medicare or health fund remittance is one PDF covering dozens of patients. Reconciling it by eye against the ledger is the job nobody wants. The assistant reads every line and tells you which invoice it belongs to.

  • Recognises Medicare, DVA, NDIS, WorkCover and health fund remittances
  • Extracts every payment line, not just the total
  • Matches each line to the invoice imported from your PMS
  • Raises one task per invoice, ready to mark paid
  • Flags the lines it could not match instead of hiding them
  • Keeps patient details out of the queue view on batch remittances

How it behaves

Fast where it should be. Careful where it matters.

An assistant on a clinic inbox is holding patient information and speaking in your clinic's voice. These are the rules it runs under.

Replies drafted. One click to send.

The writing is done by the time you open the message. Reading it and pressing send takes seconds, and nothing reaches a patient that a person did not choose to send.

Your patients stay in Australia

Every message is read by models running in Sydney. Patient information is never routed to overseas providers and is never used to train anyone's model.

The right patient file, every time

A document is only attached when two independent details agree, such as name and date of birth. When they do not, you get a ranked shortlist instead of a guess.

It reads your inbox without rearranging it

Nothing is archived, deleted or marked as read in your mailbox. Your email stays exactly as your team left it.

Questions clinics ask.

Does it reply to patients on its own?+

No. It writes the reply and puts it in front of you ready to go, and a person presses send. That is deliberate. The draft is the slow part, and keeping a human on the send button is what makes it safe to run on a real clinic inbox.

Do I have to move off my current email provider?+

No. Microsoft 365 and Gmail connect directly. Anything else works by forwarding a copy to your clinic's Quicka address, and the assistant treats forwarded mail exactly like a direct connection.

What happens to a referral once it arrives?+

It reads the PDF, pulls out the patient, date of birth, condition and funding type such as EPC, NDIS, WorkCover or DVA, matches it to the patient, files the document into their record in Cliniko, Nookal or PracSuite, keeps a copy in Quicka, and raises a task so nobody has to remember to book them.

Can it book the appointment too?+

Not yet. It drafts the reply and raises the task, and a person books in the practice management system. Booking and cancelling stay human for now.

Does it mark invoices as paid in my PMS?+

No. It matches each line of a remittance advice to the right invoice and raises a task to mark it paid, and the status comes back on the next sync. Quicka does not write payments into your practice management system.

What if it cannot work out what a message is?+

It says so rather than guessing. The message still reaches the queue and still gets a summary, it just arrives without an assumed action, and your team handles it the way they always have.

Open a sorted inbox tomorrow morning.

Connect your mailbox, and the next referral that arrives gets read, filed and turned into a task before anyone on your team has opened it.
