How a call works

Your number stays the same. The phone just gets answered.

  1. Patient rings your number

Patients dial what they always have. While you're open they choose: press 1 to talk to the assistant now, or press 2 to hold for your front desk. When you're closed, the assistant answers.

  2. Your greeting plays

Your own words in an Australian voice, followed by a clear note that the caller is speaking with AI.

  3. The AI handles it

Answers questions about your clinic or takes a message for your team. Booking into your PMS is coming in early access.

  4. Your team stays in charge

Ask for a person and the call goes to your backup phone. If nobody picks up, it lands as a callback.

Why clinics use it

Fewer missed calls, less time on hold

No queue, unless they want one

During the day callers can skip the hold and talk to the assistant, or wait for your team. After hours, every call is answered.

Every call written up

Transcript and summary on the Calls page, plus the recording if you turn recording on, so nobody asks the patient to repeat themselves.

A person whenever they want one

Callers ask for the team in their own words and are put through to your backup phone.

Built for multiple locations

Each location gets its own number, greeting and backup phone, or share one line across sites.

PMS booking, coming in early access

Booking into your PMS is coming in early access. Until then, the AI takes a message and your team follows up.

Pause it any time

Switch the AI off for the whole practice and callers are put through to your backup phone instead.

Texts too · Early access

Patient texts answered, not just sorted

The same add-on includes the inbox assistant. It reads every patient text, works out what they need and writes the reply from your real diary.

  • Replies written from your diary. When a patient texts to change an appointment, the assistant finds times that are actually free and writes the reply.

  • Sends on its own only where you say. Tick the kinds it may send without a tap: new times for a patient who wants to move, and questions only the patient can answer. Everything else waits for one click.

  • Money and new appointments wait for you. Payments and new appointments need a tap from your team.

  • Email replies drafted. Emails get a reply drafted for one-click send. Automatic email replies are coming in early access.

Safety

It knows what it shouldn't handle

The AI never gives clinical advice. For anything that sounds serious it uses fixed wording you can read here, not words it makes up.

Emergency

Happening now: chest pain or pressure, can't breathe, stroke signs, collapse, heavy bleeding, new loss of bladder or bowel control or saddle numbness, or intent to self-harm.

Medical emergency
"That sounds urgent. Please hang up and call triple zero now."
Self-harm
"I'm really sorry you're going through this. If you're in danger right now, please call triple zero. You can also talk to Lifeline any time on 13 11 14."
Worrying

Something a clinician should hear about today but that isn't clearly an emergency.

"I can't assess that over the phone. If it gets worse or you're worried, call triple zero or healthdirect on 1800 022 222. I'll have a clinician call you back today."

It lands as a callback for your team.

Everyday

Sprains, sore backs, stiffness after a session.

Handled normally: questions answered and a message taken for your team.

  • Says it's AI on every call
  • Never gives clinical advice
  • Fixed wording for anything serious
  • Puts callers through when they ask

  2. Only your clinic sees your calls. Each practice's calls, numbers and transcripts are walled off from every other practice.

Questions

Common questions

Do patients know they're talking to AI?

Yes. Every call starts with your greeting and "You're speaking with our AI assistant."

What happens when someone wants a real person?

They can ask in their own words at any time and the call goes to your backup phone. If nobody answers, the caller hears that the team will call them back, and the call lands as a callback.

Can it book appointments?

Booking into your PMS is coming in early access. Today it answers questions and takes a message, so your team can follow up.

Do I need a new phone number?

No. You keep your number and forward it. Quicka sets up a behind-the-scenes number your patients never see.

Will it take calls my team wants to answer?

Not unless the caller chooses it. While you're open, callers press 1 for the assistant or 2 to hold for your front desk, and anyone who presses nothing waits for your team. When you're closed, the assistant answers.

How much does it cost?

A$249 a month plus GST, with your AI number and 100 calls included. Extra calls are A$2 each. The inbox assistant for patient texts is included. There's a 14-day free trial and no setup fee.

Where are calls handled?

Built on Australian infrastructure: Twilio's Sydney region, Deepgram's Australian servers and AWS Bedrock in Sydney. The security and privacy page lists the services Quicka uses.

What if the AI is unavailable?

If the AI is paused or can't take the call, callers are put through to your backup phone. Without a backup phone, they're asked to call back shortly.
